How does on device meeting transcription actually work?

Every step happens on hardware you own. That is the whole design, and it is what makes the privacy claim something we can stand behind rather than a promise about how carefully we handle your data.

Step 1

It runs on your own Windows computer.

Shop Scribe installs on the machines your firm already owns. There is no account to create, no workspace to provision, and no meeting bot that joins your call as a guest everyone can see.

Step 2

It listens to the meeting and writes the transcript locally.

Speech recognition runs on the computer doing the recording. The audio is turned into text on that machine, which is why a private meeting transcription tool can work with no internet connection once it is set up.

Step 3

It turns the transcript into notes you can actually use.

Summaries and action items are generated on the same machine and saved beside the transcript. Nothing is uploaded to us, and we never see a word of it.

The cloud notetakers are good products. They also require you to hand every recorded conversation to a company you do not control, and to keep paying for the privilege. Shop Scribe trades some polish for those two things back.

Recordings, transcripts, notes and summaries are written to storage on the computer that created them. Get Next Level Marketing does not receive them, store them, or have any way to read them. If your work involves client confidences, that difference is the entire point.

Shop Scribe is built on Meetily, an MIT licensed open source project, with the usage analytics that shipped in the original removed. You can read the upstream source yourself, which is a claim most notetakers cannot make.

The licence is perpetual. There is no annual renewal required to keep using the version we deliver, and nothing stops working if you decide not to buy anything else from us.

The price includes a remote installation and configuration session plus written setup notes your IT staff can follow to roll it out to the rest of the machines themselves.

Who it is for, and who it is not

Shop Scribe suits a firm on Windows that has conversations it would rather not park on a vendor's servers: law practices, accountants, medical and dental offices, recruiters, and anyone holding client confidences. It does not suit a firm on Macs, a team that wants a polished meeting bot joining every call, or anyone who needs a verbatim record for evidence. We would rather tell you that here than after you have paid.

What should you know before buying Shop Scribe?

These answers describe what Shop Scribe does today, including the parts that are not flattering. Recording law and transcript accuracy are the two worth reading twice.

What is private meeting transcription software?

It is transcription that runs on hardware you control rather than on a vendor's servers. With Shop Scribe, the speech recognition and the note generation both happen on your own Windows computer, and the recordings, transcripts and summaries are stored on that computer. No meeting content is sent to Get Next Level Marketing or to any third party.

Does Shop Scribe work on a Mac?

No. Shop Scribe is supplied for Microsoft Windows on 64 bit Intel and AMD processors only, supporting Windows 10 (64 bit) and Windows 11. There is no macOS version, no Linux version and no mobile version, and none is planned. If your firm runs Apple computers, Shop Scribe is not the right fit and we will tell you so rather than sell it to you.

Does it need an internet connection?

Not for transcription. On first use, and when a language model is added, Shop Scribe downloads speech and language model files from third party servers over the internet. Those downloads contain no meeting content. After that, transcription and summarisation run locally.

How accurate is the transcript?

Automated speech recognition and automated summarisation both make mistakes. Transcripts will contain misheard words, and summaries will sometimes omit things that were said or state things that were not. Shop Scribe output is not a verbatim record and should not be treated as one. It is not suitable, without human review, for legal proceedings, medical records, board minutes, regulatory filings, employment investigations or financial reporting. Review and correct anything before you rely on it.

Is it legal to record my meetings?

That depends on where you and every participant are. Some states require only one participant to consent. Others, including Maryland, require every participant to consent, and the rules differ again for phone calls and for participants in different states. Deciding which laws apply and obtaining the required consent is your firm's responsibility. The Reporters Committee for Freedom of the Press maintains a state by state guide, and if you are unsure you should speak to your attorney before recording anything.

What does support and maintenance cover?

For twelve months from purchase we make available updated installers that address security vulnerabilities and defects that stop Shop Scribe running on a supported version of Windows. Feature updates are not included at any time. Installation questions and start up or recording failures are covered during the installation session and for thirty days afterwards.

Who backs up the recordings?

Your firm does. Shop Scribe performs no backup of its own, because doing so would mean copying your meetings somewhere, which is exactly what the product exists to avoid. If the computer fails, the data on it is lost. Include those machines in whatever backup your firm already runs.

How do we get it?

Tell us how many people are in your firm and what your machines run. We will confirm whether Shop Scribe fits, quote the licence for your headcount band, and schedule the installation session. We accept payment through barter exchange trade dollars as well as cash.
